Privacy and data protection

  • We collect only the information needed to administer membership, secure portal access, events, queries, resources and Stories of Change.
  • Member and governance email addresses are used for access, administration and necessary workflow notifications. They are not sold or shared for unrelated marketing.
  • Public website analytics are stored only as daily totals by page, broad device type and general referral category. We do not use advertising cookies or collect names, emails, precise locations, form contents or individual browsing histories for analytics.
  • Private resources, login records and unpublished submissions are restricted to authorised users. Authentication codes expire and are not included in data exports.
  • You may request correction or deletion of your personal information, subject to legitimate record-keeping and safeguarding requirements.

Safeguarding

  • Members must act respectfully and avoid harm, exploitation, discrimination, harassment or retaliation.
  • Concerns involving children, vulnerable people, threats, abuse or serious misconduct must be reported promptly to the President.
  • Public discussion and evidence may be paused or removed while a safeguarding concern is reviewed.
  • KiriMELCOP will respond proportionately, preserve confidentiality where possible and refer serious matters to appropriate services or authorities when required.

Community Code of Conduct

  • Contribute respectfully, listen to different perspectives and focus discussion on learning and evidence.
  • Represent sources accurately, acknowledge other people's work and disclose relevant conflicts of interest.
  • Do not post harassment, hate speech, personal attacks, misleading claims, spam or content that violates another person's rights.
  • Governance officers must work within their assigned role, keep private information secure and follow the President approval process.

Terms of use

  • KiriMELCOP participation is free and voluntary. Access may be suspended where these policies, security controls or community standards are breached.
  • Resources are shared for learning. Contributors retain responsibility for having the right to share their material and should state any reuse restrictions.
  • Meeting links and member resources are for approved members unless clearly marked public.
  • KiriMELCOP may correct, moderate, archive or remove content to protect people, quality, security and the purpose of the community.

Accessibility and inclusive access

  • KiriMELCOP aims to make public information and private portal functions usable across phones, tablets and computers, including slower connections.
  • Pages use meaningful headings, keyboard-accessible controls, readable contrast and text alternatives for informative photographs wherever practical.
  • Members may request an accessible version of a resource, meeting record or key organisational document when the available format creates a barrier.
  • Report an access difficulty to the official contact email and identify the page, document or task affected so that a reasonable solution can be considered.

Questions, complaints and corrections

Email tunebwauira@kirimelcop.org. Include enough information for the concern to be understood, but do not send unnecessary sensitive personal information. The President will acknowledge the matter and determine the appropriate confidential response.
